Shared storage
Files may be the right form for documents and drafts. Reservations and states requiring approval often need a structured database or an existing core system.
Your data
Which data may which agent process, and for what purpose? Make that decision at the start of the design.

A suitable model processes the approved scope on your own infrastructure. Hardware, updates, backups and operating responsibility remain part of the task. Other connections, such as support or backup services, need separate review.

An agent receives the permitted sources for a specific instruction. The entire company record is not automatically passed to every model.
Data export, traceable rules and contractually agreed access make change possible. Test that it works with the data and functions you actually need.
A concrete operating choice
A local model can avoid external processing of selected content. Hardware, electricity, backups and maintenance become your operating tasks. Representative tests show whether the quality is sufficient.
An external service can be appropriate when the data, contract and configuration allow it. A mixed approach can route different tasks differently. Every additional boundary also creates testing and operating work.
Fewer systems are not automatically safer. A compromised central identity may reach more than an earlier single-purpose login. Permissions, failure, recovery and permitted data flows need to be considered together.
