Evidence and audits

At some point somebody asks how a figure came about. An auditor, a customer, an insurer. That is when it turns out whether you have an answer or a long night.

The starting point

The work
in between.

  1. The figure sits in an analysis whose basis is a spreadsheet someone built two years ago.
  2. Whoever built it has left, or does not remember.
  3. The documents behind it exist, but not in the order someone wants to see them in.
  4. You reconstruct. That takes days and convinces nobody.

A suitable design

What needs to
work together.

These components describe one possible individual scope. Scope and rules are agreed with your business.

01

The history always runs along

Every change with its time, its author, the value before and the value after. Not as an extra feature but as the foundation.

02

Rules carry a date

The original state remains traceable with the rule version used at the time. Necessary corrections or reassessments are documented separately without overwriting the original basis.

03

The state at the time can be produced

Not only what the data says today, but what followed from it on a particular day.

An example decision card

An analysis has been requested

For a period in the past, with evidence of how the figures came about.

The state at the time can be reconstructed, together with the rules that applied then.

What comes with the analysis?
  • every figure with its derivation
  • the underlying documents, linked
  • the rules that applied at the time
  • the history: who changed what, and when
Fictional starting point. You can interact with the following example.

07 · To count forward

A certificate speaks up before the gap.

A certificate expires before the submission date of a tender. Count the processing time and the deadline backwards, before the folder becomes incomplete.

Certificate cabinet · tender V-2026-31 · submission 31 August

The certificate expires seven days before the submission. The lead time needed has not been calculated yet.

Deadline and decision

By when does the renewal have to be commissioned?

The agent calculates the lead time. Commissioning and submitting only follow your decision.

  1. Check of the tender folderthe quality management certificate is one of the certificates required today
  2. Latest safe date to commissionten working days of processing plus one day in reserve to calculate
  3. The current certificate expiresno longer valid for the submission on 31 August known
  4. Submission of the tenderthe new certificate has to be on file and checked before submitting 26 days

Formal gap

7 days

With the current certificate the folder would be invalid on the day of submission.

History

The starting position and the check that ran stay distinguishable.

  1. Agent · certificates Expiry on 24 August checked against the submission date of 31 August; conflict found.

An illustration. The tender, the certificate and the processing time are invented; no application is filed.

Valid means valid on the right day

A document that is valid today can be worthless for a later submission. So its expiry is checked against the day it will actually be used.

The reminder names an action

Not that a certificate expires soon, but that it has to be commissioned by 7 August. A date turns into a concrete point of decision.

The countercheck

Where things
can go wrong.

Closed original records and their history are protected against unnoticed overwriting. Corrections are new, linked entries with a reason, timestamp, identity and the required approval. Technical change restrictions are one part of this. The evidence must also be assessed for permissions, completeness, retention, recovery and documented procedures.

A useful first trial includes this failure case explicitly. Fast processing alone is not success if checking and correction create more work.

Your first stage

Start where
the work improves.

For Evidence and audits, we choose a bounded first outcome with your team. Existing specialist systems can stay where they fulfil necessary requirements. We compare time relief, payments that can end and the cost of the new way of working.

The workshop gives you priorities and a roadmap. You can continue internally or with support from Markus Kirchmair. The choice of model and agent follows the task, with data and rules retained outside an individual chat.

Ready for the next change

Keep the work simple.

The first view should show the next relevant decision. Reasoning and sources remain accessible. We leave out unnecessary features and make actual progress visible.

When a rule changes, agents can help investigate the impact, prepare the adjustment and update tests and documentation. A qualified person assesses the result and its adoption.
